What we collect
- Intake form: your work email, organization, role (optional), and your description of what you are working on.
- Email and scoping calls: whatever you choose to send us, and the details you enter when you book a call on this site (name, work email, company or institution, and an optional non-confidential description of your target) and the time you choose.
- Site analytics: Google Analytics records the pages you visit, the buttons you click (such as “Book a meeting”), your device and browser type, and an approximate location based on your IP address.
- Security: Cloudflare processes your IP address and connection details to deliver the site and block malicious traffic.
The intake form is pre-NDA. Please do not submit sequences, structural coordinates or other confidential information through it.
Why we use it
We use this information to answer your inquiry, scope a possible program, prepare an NDA if you request one, understand how the site is used, and keep the site secure.
We do not sell personal information, and we do not use it for advertising.
Who processes it
Your information is handled on our behalf by Google (Workspace, Calendar and Analytics), Cloudflare, and our web host, Namecheap. We share with each provider only what it needs to deliver its service. Calls booked on this site are stored in a database on our web host’s servers and reach us by email through Google Workspace.
These providers may store data outside Québec, including in the United States.
Storage and security
- Data is encrypted in transit (TLS) and at rest within Google Workspace.
- Access is limited to ProxAI staff who need it, and every account is protected by multi-factor authentication.
- Inquiries that do not lead to an engagement are deleted 24 months after our last exchange.
- Booking records are kept in a password-protected database and deleted 24 months after the call. To prevent abuse, we keep a scrambled (hashed) form of your IP address for 24 hours.
- Analytics and security data are kept according to Google’s and Cloudflare’s retention settings.
Target information and IP
We do not claim ownership of any target information you share with us. We use it only to evaluate and scope your program.
Confidential material is exchanged only after both parties sign a mutual NDA.
Your rights
You can ask us to:
- tell you what personal information we hold about you and how we use it;
- correct it;
- delete it;
- stop using it (withdraw your consent).
We reply within 30 days. If you are not satisfied with our reply, you can file a complaint with the Commission d’accès à l’information du Québec.
Changes
We post any update on this page and change the effective date shown at the top.
